Encore Village of Schaumburg is currently hiring for a full time Business Office Manager. Encore Village is seeking a highly organized and detail-oriented Business Office Manager (BOM) to oversee the financial and administrative operations of our skilled nursing facility. The BOM plays a critical role in ensuring the accuracy of billing, collections, resident account management, payroll processing, and compliance with financial and regulatory standards. This position collaborates closely with administration, residents, families, and external payers to support the facility’s operation goals and ensure high levels of resident satisfaction.

Key Responsibilities:

Process and maintain census activity in PointClickCare (PCC).

Track and post discounts, adjustments, recurring charges, and incentives.

Reconcile census reports from the Admissions Department with PCC data.

Monitor Medicaid applications through third-party agencies.

Assist with admission paperwork and ensure regulatory compliance.

Process income changes in MEDI and monitor Medicaid redeterminations.

Investigate and resolve Medicaid eligibility issues.

Educate residents and families on Medicaid billing procedures.

Stay current on Medicaid reimbursement policies and regulations.

Collect documentation for financial approval and calculate patient liability.

Apply recurring credits (e.g., entrance fee deductions, benevolence) in PCC.

Manage accounts receivable and pursue delinquent accounts.

Serve as RFMS program administrator, including form collection and resident setup.

Process monthly transactions and manage petty cash distributions.

Provide financial counseling and respond to resident/family billing inquiries.

File bed tax with the Illinois Department of Healthcare and Family Services.

Coordinate with auditors, Medicare/Medicaid reviewers, and regulators.

Qualifications:

Associate or Bachelor’s degree in Business Administration, Accounting, Healthcare Administration, or related field (preferred).

2-3 years experience in a healthcare business office; SNF or long-term care experience highly preferred.

Strong understanding of Medicare, Medicaid, and third-party insurance billing.

Skills and Competencies:

Proficient in billing software, specifically PointClickCare, and Microsoft Office.

Excellent interpersonal, written, and verbal communication skills.

Strong organizational, analytical, and time management abilities.

Ability to handle confidential information with discretion and integrity.
