**Job Summary:**
We are seeking an experienced and highly organized Office Manager to play a pivotal role in supporting the day-to-day operations of National Hispanic Contractors Association. The successful candidate will be responsible for managing events, seminars, and classes, ensuring smooth coordination, and overseeing various office responsibilities to contribute to the overall success of the organization.
**Key Responsibilities:**
1. **Event Management:**
– Plan, coordinate, and execute events, seminars, and classes for members.
– Collaborate with internal teams and external partners to ensure successful event logistics.
– Manage event budgets, timelines, and post-event evaluations.
2. **Member Engagement:**
– Foster positive relationships with association members.
– Respond to member inquiries and provide exceptional customer service.
– Assist in the development of strategies to enhance member engagement.
3. **Office Administration:**
– Oversee general office operations and ensure a well-organized and efficient work environment.
– Manage office supplies, equipment, and vendor relationships.
– Handle incoming calls, emails, and correspondence.
4. **Financial Management:**
– Assist in budget preparation and financial tracking for events and office expenses.
– Process invoices, expense reports, and other financial transactions.
5. **Communication:**
– Collaborate with the communication team to promote events and engage with members through various channels.
– Prepare and distribute newsletters, announcements, and other relevant communications.
6. **Database Management:**
– Maintain accurate and up-to-date records of members, event attendees, and other pertinent information.
– Utilize the organization’s database software proficiently.
**Qualifications:**
– Bachelor’s degree in business administration, event management, or related field preferred.
– Proven experience in office management and event coordination, particularly in a non-profit setting.
– Strong organizational and multitasking skills with meticulous attention to detail.
– Excellent communication and interpersonal skills.
– Proficient in Microsoft Office Suite and event management software.
– Ability to work independently and collaboratively in a team environment.
