Job Summary

The Executive Assistant provides administrative and operational support to the president, who runs two companies. The assistant’s role will be to help complete and prioritize tasks to be completed for both companies – one is a real estate rental / Leasing business and the other is an Industrial business. This is a 1099 employment position, not a W-2.

Primary Duties and Responsibilities

Work directly with the president to support all aspects of his daily work routine.

Provide coordination, monitoring, and communication for all reservations and guests staying in the president’s short-term rentals.

Assist the president in activities and processes including project planning, intake, prioritization, initiation, and execution for both businesses.

Serve as a primary point of contact between real estate tenants and the president, including helping to document profit received for each of the different projects and providing administrative support for meetings.

Determine priority of matters of attention for the president; redirect matters to coworkers to handle, or handle matters personally, as appropriate.

Keep the president advised of time-sensitive and priority issues for both companies, ensuring appropriate follow-up.

Routinely perform a wide variety of support duties.

Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages.

Sort and triage mail; maintain e-mail and other address directories.

Prepare, reconcile, and submit expense reports to the president for review.

Meticulously maintain paper and electronic filing systems.

Maintain confidential and sensitive information.

Attend meetings and take notes of discussion in order to prioritize and complete tasks for the president.

Complete a variety of special projects for both companies, including data entry and technology-related projects.

Other additional and/or alternative duties as assigned from time to time, including supporting other departments or co workers as needed.

The Ideal Candidate Is

A detail-oriented self-starter with prior experience in the real estate or scale industry, but ultimately no experience is needed if you are the right fit. Willing to teach candidates from ground zero; hourly pay is determined by experience.

Someone who exhibits sound judgment with the ability to prioritize and make decisions

Energetic and eager to tackle new projects and ideas

Comfortable interacting with customers on online platforms and communicating with the president frequently.

Pay: $18.00 – $20.00 per hour
