Overview:

Provides operational and administrative support for the program’s Control Tower. Ensures organized scheduling, document handling, and coordination support across teams. The role is essential in maintaining the smooth functioning of day-to-day program operations, including handling internal coordination, meeting preparation, document control, and basic procurement logistics. The Business Support Specialist also ensures timely communication across cross-functional teams, facilitates workflow tracking, and supports compliance with documentation standards.

Key Responsibilities:

Maintain calendar invites, meeting records, and action trackers.

Support documentation, archiving, and report formatting.

Assist with procurement, logistics, and internal requests.

Coordinate team communications and document follow-ups.

Prepare meeting briefs, follow-up summaries, and distribution of approved documents.

Monitor task progress on shared trackers and follow up on overdue items.

Provide support during workshops, site visits, and official delegations (logistics, materials, setup).

Liaise with finance or admin units for processing service requests, reimbursements, and vendor coordination.

Qualifications:

Bachelor’s degree in business administration, Office Management, or a related field.

5+ years of experience in coordination or executive support.

Saudi national preferred.

Competencies:

Attention to detail and organization.

Strong MS Office and document management skills.

Logistics and scheduling efficiency.

Internal communication and coordination.

Ability to manage sensitive information with discretion.

Capable of juggling multiple support tasks with minimal supervision.

Professional conduct and responsiveness in team and stakeholder interactions.

Familiarity with government or large-scale program operations (preferred).

Experience using enterprise tools (e.g., SharePoint, Microsoft Teams, or project tracking systems) is an advantage.
