We are looking for a Business Support Executive to support the operations of a growing financial advisory team of approximately 25 advisors. This role plays an important part in ensuring smooth client servicing, efficient business operations, and strong team coordination.

You will work closely with the team leader and advisors to manage client servicing matters, operational processes, and recruitment coordination.

This role is ideal for someone who is organised, proactive, and comfortable working in a fast-paced, people-oriented environment.

Key Responsibilities

Client Management & Servicing

  • Manage client servicing requests such as policy updates, documentation, and claims enquiries
  • Coordinate administrative processes related to client cases and policy servicing
  • Maintain accurate client records and ensure strict confidentiality of information
  • Track servicing requests and ensure timely follow-ups with clients and advisors

Business Operations Support

  • Support advisors with administrative preparation for client meetings and case submissions
  • Assist in organising internal systems for client management and workflow tracking
  • Liaise with internal departments to facilitate operational processes and documentation

Team Coordination

  • Coordinate team meetings, training sessions, and internal team activities
  • Assist in onboarding logistics for new advisors and interns
  • Support the organisation of team events, workshops, and training programmes

HR & Talent Support

  • Assist with candidate sourcing and outreach for recruitment initiatives
  • Coordinate interview scheduling and candidate follow-ups
  • Maintain recruitment tracking and talent pipeline records
  • Support internship programme administration and candidate coordination

Design & Communication Support

  • Create simple visual materials using Canva, such as presentation slides, recruitment materials, event posters, and social media visuals
  • Support the team with preparation of slides and materials for presentations or internal meetings

Requirements & Skill Sets

Education

  • Bachelor’s Degree in any discipline

Organisational & Multitasking Ability

  • Strong organisational skills with the ability to manage multiple tasks and deadlines
  • Detail-oriented when handling documentation, operational processes, and client information
  • Able to prioritise tasks effectively in a fast-paced environment

Communication & Coordination Skills

  • Strong written and verbal communication skills
  • Able to coordinate effectively between advisors, clients, and internal departments
  • Professional and responsive when handling client enquiries and follow-ups

Data & Systems Management

  • Proficient in Microsoft Excel for tracking data, maintaining operational spreadsheets, and organising information
  • Comfortable managing databases, tracking sheets, and recruitment pipelines
  • Able to maintain structured systems for client servicing and workflow tracking

Design & Content Skills

  • Proficient in Canva for creating simple visual materials such as slides, posters, and social media graphics
  • Able to support the team with presentation preparation and basic design work when required
