Full Job Description
Overview:
We are looking for a highly organized and discreet Executive Assistant to support the CEO with daily operations, scheduling, legal document handling, and administrative duties. This role requires someone who is proactive, efficient, and capable of managing sensitive tasks in a fast-paced environment.
Key Responsibilities:
Executive & Administrative Support
Manage CEO’s calendar, schedule meetings, and coordinate appointments
Prepare internal/external communications, reports, and presentation decks
Handle personal errands, travel bookings, and logistics for the CEO
Record meeting notes and follow through on action items
Maintain confidentiality and professionalism at all times
Legal Document & Contract Administration
Organize and maintain legal files, contracts, and agreements
Coordinate with legal counsel and third parties on document processing
Manage digital signing platforms (e.g., DocuSign), track deadlines and approvals
Maintain structured digital filing systems with clear naming conventions
Draft basic agreements, memos, and authorization letters as needed
Qualifications:
Prior experience as an Executive Assistant or Legal Admin
Fluent in English; Mandarin Chinese a plus
Familiarity with legal documentation and confidentiality standards
Proficient in Google Workspace and file-sharing platforms
Strong organizational, time management, and communication skills
Bonus Skills:
Background in real estate or legal services
Experience with digital signing tools and document workflows
Compensation:
Competitive and negotiable based on experience, with performance-based bonuses
Job Types: Full-time, Part-time
Pay: From $20.00 per hour
Expected hours: 20 – 40 per week
