Position: Client Accounts Specialist (Hybrid)
Mid-sized education law firm with statewide practice representing school and community college districts seeks a billing coordinator for our East Bay Office. Essential duties and responsibilities include:
Ensure that client receipts are accurately posted to client accounts on a timely basis
Open new matters and complete new matter set-up, corresponding documentation and system updates
Responsible for reviewing attorney time entries and ensuring their accuracy and adherence to client billing requests
For assigned clients, responsible for the Billing Information Memo (BIMS) process, submission of forms to update clients on requested attorney information, actively monitor accounts receivables balances and escalate issues as necessary, maintain regular client contact to follow up on aged billings, Invoice Adjustment appeals, payments and/or Promise to pay.
At times, supports full cycle billing activities, using billing (LMS) software to edit, prepare, post invoices and send invoices to clients
Research and reconcile client accounts, payments, unapplied cash, etc., as necessary
Position requires routine communication with firm attorneys, client contacts, and other personnel, both inside and outside the firm
Respond to information requests from attorneys, clients, and administrative staff related to WIP, A/R, billing reconciliations, trust balances, matter budgets, and applications of cash and audit letters
Maintain compliance with firm billing policies and client billing guidelines, including approved alternative billing arrangements
Prepare ad hoc billing-related reports, as requested
Complete special projects as assigned
Qualifications include:
Ability to work efficiently to create an accurate and timely work product

Ability to accept new challenges while being adaptable to change
Demonstrates clear, organized, and effective verbal and written communication skills
Excellent organizational skills and attention to detail
Ability to effectively handle shifting priorities and adapt to changing demands
Ability to work overtime, as needed
Associate’s degree in accounting, finance, business management, project management, or related field preferred
A minimum of three years legal billing experience using a billing software system; experience with LMS preferred
Strong computer proficiency with the Microsoft Office Suite of products, including Outlook, Word, and Excel. Intermediate Excel skills preferred.
Law firm billing experience preferred
The anticipated hourly rate range the Firm reasonably expects to pay candidates for this position is $38.00 – $48.00. The final hourly rate will be dependent on several factors that may include but are not limited to the type and years of experience in the job, type and years of experience in the industry, education, and other factors.
