The Opportunity

As the primary contact, you will manage appointments, open client files, coordinate administrative tasks, and ensure the office runs smoothly. Your organization and multitasking skills will help maintain a welcoming, organized reception and office environment.

Responsibilities

  • Welcome clients and visitors, creating a warm and professional first impression
  • Answer incoming phone calls and emails, directing inquiries appropriately
  • Schedule appointments and coordinate lawyer and paralegal calendars
  • Open new client files and ensure documentation is accurate and complete
  • Prepare correspondence and assist with legal documentation related to new files
  • Coordinate incoming and outgoing mail, courier deliveries, and file transfers
  • Maintain electronic and paper filing systems
  • Enter and update client information within internal software systems
  • Support follow‑up communications with clients, including questionnaires and correspondence
  • Assist with meeting coordination and office administration
  • Monitor and order office supplies
  • Help maintain a welcoming, organized reception and office environment
  • Provide general administrative support to the legal team as required

Qualifications

  • Previous experience in administration, reception, client service, or office support
  • Proficiency with Microsoft Office, including Outlook, Word, and basic Excel
  • Comfortable learning new software systems (experience with legal software considered an asset)
  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills

    High attention to detail and accuracy

  • Professional and polished client service skills

  • Adaptable and open to learning new processes
  • Ability to work independently while supporting a collaborative team
  • Previous legal experience considered an asset, but not required

Benefits

  • Salary range of approximately $45,000–$48,000 annually, depending on experience
  • Health and dental benefits following a three‑month probationary period
  • Five paid sick days annually
  • Monday‑Friday schedule, typically 9:00 am–5:00 pm, with occasional flexibility during the busy summer real estate season
  • Business casual office environment
  • In‑office position based in Dartmouth, Nova Scotia
