Job Description

The Clinic Administrative Assistant plays a key role in the support of our team and Clinic Management, tasked with assisting with administrative actions related to scheduling, operational resources, EMR, and communications support. This full-time role will be asked to provide direct treatment in session on a hybrid basis (25-75%), in balance with administrative support functions.

Provides administrative support to Management and Technicians

Supports daily opening procedures (M-F) and some Saturday morning sessions

Assists with the daily schedule to ensure sufficient coverage and efficient operations

Updates records in EMR including patient information and timesheets

Supports treatment sessions as necessary

Performs office management tasks including maintaining records and ordering supplies

Organizes and distributes supplies, materials, and equipment; maintains cleanliness of the clinic

Provides support to Clinic personnel during break coverages and transition periods

Contributes to a motivating therapy environment

Directs one-on-one naturalistic play-based therapy in-clinic

Implements specified programs/procedures

Communicates regularly and professionally with your Program Supervisor

Consistently develops your own job knowledge and advances your career

Availability during standard operating hours from Monday to Friday, 7:30am to 6:30pm, and occasional coverage on Saturday from 9am to 1pm.

Qualifications

Education:

High school graduate with administrative support experience

Availability:
Monday – Friday, occasional Saturday sessions

Excellent verbal and written communication skills

Excellent time management skills with a proven ability to meet deadlines

Ability to function well in a high-paced and at times stressful environment

Active RBT certification or a willingness to obtain

Extremely proficient with Google Workspace, Microsoft Office Suite, and the ability to learn

Maintain empathy and promote positive teamwork and communication
