Job Description

We are seeking a detail-oriented, energetic, and experienced Construction Office Manager to oversee our accounting operations and ensure the smooth functioning of our office. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.

Duties

Manage daily office operations, including clerical tasks and file management.

Evaluate project plans, drawings, and specifications to determine scope and feasibility.

Organize and manage calendars, schedule appointments and meetings.

Prepare and manage detailed cost estimates and pre-construction budgets. Coordinate with subcontractors, vendors, and suppliers to gather competitive bids.

Work independently and within a team environment.

Proficient in Word, Excel, PowerPoint, and Adobe Acrobat.

Process subcontracts and purchase order contracts.

Manage subcontract change orders.

Write bids in the CRM system.

Source and order products.

Handle subcontractor agreements and 1099s.

Prepare detailed and accurate estimates for materials, labor, and equipment based on the client’s scope of work.

Enter invoices, progress billings, and track payments and collections.

Update information in CRM systems and portals.

Assist owners, subcontractors, and suppliers in resolving daily business issues promptly.

Create manuals for the office.

Qualifications

Proven experience in office management or a related field.

Strong clerical skills with attention to detail in file management.

Thorough knowledge of general construction and estimating.

Construction experience is a plus.

Excellent organizational skills to manage multiple tasks effectively.

Knowledge of local building codes and permit requirements.

Understanding of construction methods, cost planning, and scheduling.

Strong calendar and schedule management skills.

Excellent verbal and written communication skills.

Minimum of 3-5 years of experience as an office manager.

Proficient in Microsoft Office programs (Excel, Word, Outlook, PowerPoint).
