Roles & Responsibilities :
Responding to emails & Whats App from parents and schools (keep emails > 10 by 16h00)
Allocating payments via email & Whats App
Answering phone calls and assisting with queries & requests from parents and schools
Ensure tuckshops with Windows POS systems connect their systems in the mornings (excl school holidays)
Follow up with debtors regarding outstanding / overdue invoices
Ensure debit orders are cancelled for parents who’ve cancelled their services
Maintaining a spreadsheet containing details for parents with failed debit orders
Reconciliations for tuckshops (where applicable) to ensure funds are allocated correctly
Arranging photoshoots with schools and photographers so we can make cards for new students (annually)
Communicate with tuckshop owners to ensure each tuckshop’s system is up to par for the new year (annually)
Arranging date & time with tuckshops if systems need repairs, exchanging etc.
Other tasks and requests from management
Reporting problems to management such as technical issues etc.
Keeping a spreadsheet with all these problems and informing IT to ensure they are fixed
Assisting with vending customers’ complaints / queries
Following up with management regarding tasks that are outstanding
Assist tuck shop owners with queries and requests
Assist customers with phone calls and requests
Daily management of office reception: receive parcels, answering all phone calls and queries
