Full Job Description
Volunteer Behavioral Healthcare System is now seeking a detail-oriented and efficient Data Entry Specialist to join our team.
This is a Hybrid position.
The Data Entry Specialist supports the behavioral health programs by ensuring accurate and timely entry of clinical and administrative data into electronic systems. This position plays a key role in maintaining the integrity of client records, tracking essential program milestones, and ensuring that data is aligned with grant reporting requirements. The specialist will work closely with clinical teams to support smooth client transitions through admission, treatment, and discharge processes.
Starting Pay:40,000
Required to be in the office (Murfreesboro), two days a week. At home the rest of the week.
Home office space must meet the Work From Home criteria.
Qualifications:
High School Diploma or equivalent required; Associate’s or Bachelor’s degree in Health Information, Behavioral Health, or related field preferred.
Experience in healthcare data entry, behavioral health, or administrative support is preferred.
Familiarity with TNWITS, ASI/ASAM assessments, and EHR systems strongly desired.
Strong attention to detail and organizational skills.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Proficiency in Google Workspace (Docs, Sheets) and Microsoft Office Suite.
Key Responsibilities:
ASI Completion & Tracking
Complete Addiction Severity Index (ASI) assessments within the Volunteer System for assigned clients.
Track ASI assessments for all program types (Detox, IOP, MAT, and other VBH programs) to ensure timely completion.
Enter ASI data into the TNWITS system accurately and within required timeframes.
Grant Payer Identification
Review client records to determine and assign the correct grant payer in the Electronic Health Record (EHR) system.
Ensure grant payer data is current and reflective of the client’s funding source.
ASAM Entry & Monitoring
Enter American Society of Addiction Medicine (ASAM) assessments into the TNWITS system.
Track and monitor ASAM submissions to ensure they are completed on time and reflect client progress accurately.
Client Program Tracking
Create and maintain a Google Sheet or similar system for tracking client progression from Admission > ASAM > Discharge ASI.
Ensure all key data points are updated regularly and shared with clinical leadership as needed.
Client Discharges
End payer entries in the EHR when clients are discharged from programs.
Accurately discharge clients from TNWITS upon program completion or exit.
Perform additional data entry and tracking responsibilities as needed.
Preferred Skills:
Experience with behavioral health program data
Understanding of grant-funded program requirements
Ability to handle confidential information with discretion.
