Position: Department Secretary – The Access to Care Program
The Access to Care Program is seeking a full-time, temporary Department Secretary for up to 18 months to support the Mood & Anxiety Ambulatory Service. Reporting to the Clinical Manager, the successful candidate will work collaboratively within a large, inter‑professional team. The Department Secretary is responsible for welcoming and supporting clients who arrive at the clinic’s reception area, many of whom may be in distress or experiencing mental health symptoms.
A warm, professional, and compassionate presence is essential to creating a safe and supportive environment through frequent telephone and in‑person interactions. The role requires the utmost discretion in handling sensitive information and maintaining client confidentiality at all times.
The Mood & Anxiety Ambulatory Service and the broader Access to Care Program operate within a dynamic clinical environment. As such, this role requires a high degree of flexibility and adaptability. The successful candidate must be comfortable adjusting to evolving workflows, shifting priorities, and program changes, and demonstrate a collaborative, solution‑focused approach when supporting the team through these transitions.
Responsibilities
Equally important are the administrative responsibilities, which include coordinating clinical appointments using the electronic scheduling system, responding to inquiries, and managing day‑to‑day operations such as filing, photocopying, faxing, ordering supplies, and other duties as assigned. The successful candidate may also be asked to provide occasional back‑up support to other clinics within the program. The successful candidate will be required to work onsite at 100 Stokes Street from Monday to Friday.
Qualifications
The ideal candidate will have completed a one‑year Community College diploma in Office Administration or a related field, along with at least two years of administrative or secretarial experience. Preference will be given to candidates with healthcare experience, particularly in mental health settings. Experience working with individuals in distress or experiencing mental health challenges is essential, as is the ability to respond with empathy, professionalism, and tact.
Strong verbal and written communication skills are required, along with the ability to thrive in a fast‑paced, team‑oriented environment. The candidate must be proficient with technology, including Microsoft Office applications (Word, Excel, PowerPoint), web‑based databases, and electronic communication tools. Familiarity with electronic health records and medical terminology is also required.
The successful candidate will be highly organized, detail‑oriented, and capable of managing multiple administrative responsibilities while maintaining accurate records. Sound judgment, problem‑solving abilities, and the capacity to interpret and apply policies and procedures are also essential. Experience preparing meeting minutes and managing databases is considered an asset. The role requires cultural sensitivity and the ability to engage effectively with clients and colleagues from diverse backgrounds.
Bilingualism in French and English, or proficiency in another language, is considered an asset.
Salary Range: $26.80 – $33.05 per hour
