We are seeking a highly organized, proactive, and tech-savvy Executive Administrative Assistant to provide comprehensive support to our C-Suite leadership team. This is a fully remote, full-time position that requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Position Overview
The Executive Administrative Assistant serves as a trusted partner to senior executives, helping maximize efficiency across scheduling, travel coordination, internal operations, event planning, and marketing support initiatives. The ideal candidate is energetic, resourceful, highly organized, and comfortable leveraging modern technology and productivity tools to keep operations running smoothly.
Key ResponsibilitiesExecutive Support
- Manage complex executive calendars, meetings, and scheduling across multiple time zones.
- Coordinate internal and external meetings, including agendas, logistics, and follow-up actions.
- Prioritize and manage competing requests while ensuring executives remain focused on strategic priorities.
- Prepare presentations, reports, meeting materials, and executive correspondence.
Travel Coordination
- Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Manage travel-related logistics and proactively address scheduling changes or disruptions.
- Prepare detailed travel briefings and supporting documentation.
Internal Operations
- Support day-to-day operational activities and cross-functional coordination.
- Track key projects, deadlines, and action items on behalf of leadership.
- Assist with documentation, process improvement initiatives, and internal communications.
- Help maintain organizational systems, records, and workflows.
Event Planning & Coordination
- Plan and coordinate executive meetings, company events, conferences, trade shows, and team gatherings.
- Manage vendor relationships, budgets, registrations, logistics, and event timelines.
- Support both virtual and in-person events to ensure successful execution.
Marketing & Administrative Support
- Assist with the development, organization, and distribution of marketing collateral and presentation materials.
- Coordinate updates to sales decks, promotional materials, event assets, and branded content.
- Work closely with marketing and leadership teams to ensure materials are accurate and professionally presented.
Qualifications
Required
- 3+ years of experience supporting senior executives, leadership teams, or C-level executives.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proven ability to manage confidential information with discretion and professionalism.
- Experience coordinating complex calendars and travel arrangements.
- High proficiency with Microsoft Office, Google Workspace, and modern collaboration tools.
- Strong problem-solving skills and ability to work independently in a remote environment.
- Availability to work full-time and maintain flexibility to support executive needs when required.
Preferred
- Experience supporting executives in media, technology, startups, or high-growth organizations.
- Familiarity with project management platforms such as Asana, Monday.com, ClickUp, Airtable, or similar tools.
- Experience creating presentations and marketing materials using Canva, PowerPoint, Adobe Creative Suite, or equivalent platforms.
- Event planning and vendor management experience.
