Position Summary
The Executive Assistant to the Executive Director provides high-level administrative, organizational, and project support to the Executive Director and Executive Department. This role serves as a key liaison with internal staff, board members, volunteers, vendors, and external partners. The ideal candidate is highly organized, professional, adaptable, and thrives in a fast-paced, mission-driven performing arts environment.
Key Responsibilities
Executive & Office Administration
- Provide administrative and operational support to the Executive Director and Executive Department
- Manage complex calendars, schedules, and communications
- Track deadlines, events, and deliverables
- Maintain records, files, and correspondence
- Ensure that key dates, communications, events, and deadlines are completed successfully
- Assist with facilities management including arranging inspections and organizing inventory
- Arrange and book travel as needed
- Assist Executive Director and other staff as delegated
Board & Meeting Support
- Prepare agendas and meeting materials
- Record and distribute action items
Project, Event, and Program Support
- Support planning and execution of events and shows
- Coordinate vendors, ticketing, and merchandise
- Assist in volunteer coordination, training, and management for various projects and for all shows and events
- Organize and manage large group ticket sales and assist with executing school shows in summer
- Manage ad sales program for summer show and assist with summer show program revision
Systems & Operations
- Maintain organizational calendars and databases
- Support administrative accounting tasks
Qualifications
- Bachelor’s degree or equivalent experience required
- Minimum 3 years of administrative or executive assistant experience
- Nonprofit experience preferred
- Commitment to the mission of Circus Juventas
Employment Details
- This is a full-time, salaried, onsite position reporting to the Executive Director. Evening and weekend hours are required during performances and special events. Benefits include employer-paid medical insurance, paid vacation, 401(k) matching, and free Circus Juventas classes for employees’ children. Background checks are required.
- Pay range $48,000 – $55,000 per year.
