Certainty is seeking a highly organized and proactive Executive Assistant / Administrative Assistant to provide administrative and executive support to senior leadership. This remote position will report directly to the executive leader and will also support Franco, with the potential to assist additional executives as the organization grows.
The ideal candidate has 1–2 years of professional administrative experience, exceptional organizational skills, and the ability to manage multiple priorities in a fast-paced environment. This individual will play a key role in ensuring executive effectiveness through calendar management, meeting coordination, communication support, and administrative operations. Experience with project coordination or project management is a plus, as this role will help track divisional initiatives and keep projects moving forward.
Salary Range: $60,000–$70,000

Responsibilities:
- Manage executive calendars, schedule meetings, and coordinate appointments across multiple stakeholders
- Organize, prioritize, and summarize incoming communications, including emails, meeting requests, and other correspondence
- Coordinate virtual meetings, conference calls, and executive events, ensuring all logistics and materials are prepared in advance
- Prepare agendas, meeting materials, presentations, and follow-up action items
- Assist with travel arrangements and expense reporting as needed
- Support day-to-day administrative operations and special projects for executive leadership
- Track divisional initiatives, action items, and project timelines to help ensure priorities remain on schedule
- Coordinate with internal teams and external partners to facilitate communication and follow-through on key initiatives
- Maintain confidentiality when handling sensitive business information
- Provide general administrative support to additional executives as business needs evolve
Qualifications
- 1–2 years of experience in an administrative, executive assistant, coordinator, or related support role
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to prioritize multiple tasks and manage competing deadlines
- Self-motivated, resourceful, and comfortable working independently in a remote environment
- Professional demeanor and ability to handle confidential information with discretion
- Proficiency with Microsoft Office Suite and common business collaboration tools
- Strong follow-up and project coordination skills
- Experience supporting multiple stakeholders is a plus
- Project management or project coordination experience is preferred but not required
- Associate's or Bachelor's degree preferred
