Duration: 6-Month Contract with Contract-to-Hire Potential

Are you a highly organized administrative professional who thrives in a fast-paced environment? We're seeking an experienced Executive Administrative Assistant / Office Assistant to provide high-level support to executive leadership while ensuring the smooth day-to-day operation of the office. This is an excellent opportunity to join a collaborative team with the potential to transition into a permanent role.

What You'll Do:

Executive Support:

  • Manage executive calendars, meetings, and appointments.
  • Coordinate domestic and international travel, including flights, accommodations, and detailed itineraries.
  • Prepare presentations, reports, correspondence, and meeting materials.
  • Screen and prioritize emails, phone calls, and other communications.
  • Organize executive meetings, leadership events, and off-site activities.
  • Track action items and follow up to ensure deadlines are met.
  • Handle confidential and sensitive information with professionalism and discretion.

Office Administration:

  • Support daily office operations and administrative processes.
  • Order office supplies and manage vendor relationships.
  • Coordinate conference room scheduling and office events.
  • Welcome and assist visitors and guests.
  • Process invoices, expense reports, and purchase requests.
  • Maintain filing systems, records, and office documentation.
  • Assist with onboarding activities for new employees.

Qualifications:

Required:

  • Minimum 3 years of administrative, executive assistant, or office support experience.
  • High school diploma or GED (completed).
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and time management abilities.
  • Ability to work independently while managing multiple priorities.
  • Professional demeanor with the ability to maintain confidentiality.

Preferred:

  • Associate's or Bachelor's degree.
  • Experience supporting senior executives or leadership teams.
  • Familiarity with expense management and travel booking systems.
  • Experience with project coordination and event planning.
  • Knowledge of office management best practices.

Work Location:

  • 100% onsite in Bedford, MA 01730
  • Candidates must be local (ideally within a 20-mile radius).
  • Reliable transportation is required.
