We're seeking an experienced Executive Administrative Assistant / Office Assistant to provide high-level support to executive leadership while ensuring the smooth day-to-day operation of the office. This is an excellent opportunity to join a collaborative team with the potential to transition into a permanent role.
What You'll Do:
Executive Support:
- Manage executive calendars, meetings, and appointments.
- Coordinate domestic and international travel, including flights, accommodations, and detailed itineraries.
- Prepare presentations, reports, correspondence, and meeting materials.
- Screen and prioritize emails, phone calls, and other communications.
- Organize executive meetings, leadership events, and off-site activities.
- Track action items and follow up to ensure deadlines are met.
- Handle confidential and sensitive information with professionalism and discretion.
Office Administration:
- Support daily office operations and administrative processes.
- Order office supplies and manage vendor relationships.
- Coordinate conference room scheduling and office events.
- Welcome and assist visitors and guests.
- Process invoices, expense reports, and purchase requests.
- Maintain filing systems, records, and office documentation.
- Assist with onboarding activities for new employees.
Qualifications:
Required:
- Minimum 3 years of administrative, executive assistant, or office support experience.
- High school diploma or GED (completed).
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Excellent verbal and written communication skills.
- Strong organizational, multitasking, and time management abilities.
- Ability to work independently while managing multiple priorities.
- Professional demeanor with the ability to maintain confidentiality.
Preferred:
- Associate's or Bachelor's degree.
- Experience supporting senior executives or leadership teams.
- Familiarity with expense management and travel booking systems.
- Experience with project coordination and event planning.
- Knowledge of office management best practices.
Work Location:
- 100% onsite in Bedford, MA 01730
- Candidates must be local (ideally within a 20-mile radius).
- Reliable transportation is required.
