The American Academy of Restorative Dentistry (AARD) is seeking an exceptional Executive Administrator to support its members, leadership, committees, and annual scientific meeting.
For decades, this role has carried the traditional title of Executive Secretary, reflecting the history of the Academy and the trust placed in this position.
This is not simply administrative support. It is a high-trust role for someone who genuinely enjoys people, organization, hospitality, details, and making things happen behind the scenes.

What You’ll Own
Working closely with the Secretary-Treasurer and Academy leadership, you will support:
· Member and guest communication
· Executive Committee and Secretary-Treasurer coordination
· Annual calendars, deadlines, procedures, and follow-up
· Committee communication and timeline support
· Correspondence, records, databases, and archives
· Dues, registration fees, payment processing, and financial administration
· Member and guest registration
· Annual Meeting preparation and coordination
· Leadership transitions and preservation of institutional knowledge
Annual Meeting
Each February, AARD gathers in Chicago for its signature Annual Meeting.
The Executive Administrator plays an important role in helping create the personal, polished, and welcoming experience AARD is known for.
Required travel to Chicago each February is part of the position.
Schedule & Availability
This is a remote, part-time W-2 position with a seasonal workload rather than a fixed weekly schedule.
· Approximately 800–1,000 hours annually once trained
· Peak workload occurs January through March
· Significantly lighter summer months
· Daytime flexibility and prompt weekday responsiveness are important
· Selected evening and occasional weekend virtual meetings are required
· This should be considered the candidate’s primary professional commitment
Transition & Training
AARD’s longtime Executive Secretary will provide a minimum two-year mentorship and transition period.
The selected candidate will have time to learn the Academy’s systems, traditions, members, annual rhythm, and expectations while gradually assuming greater responsibility.
Experience & Technology
We are looking for someone with a strong administrative foundation and confidence using technology.
Preferred experience may include:
· Executive or senior administrative support
· Professional associations, boards, or committees
· Event or meeting coordination
· Membership organizations or nonprofit administration
Comfort with tools such as:
· Microsoft Word, Excel, Outlook, and Access
· QuickBooks
· Zoom and Dropbox
· PayPal and Adobe Acrobat
Compensation
$48,000 annually / $4,000 monthly
· Part-time W-2
· No traditional employee benefits currently offered
· Approved Academy business expenses and required Annual Meeting travel are covered according to Academy policy
