Position Summary:
We are seeking an experienced Administrative Associate IV to provide high-level administrative and executive support to senior leadership in a dynamic corporate environment. This role serves as a trusted partner to executives, managing complex schedules, coordinating travel, preparing business communications, and supporting key operational and leadership initiatives. The ideal candidate will possess exceptional organizational skills, strong written communication abilities, and experience supporting senior executives in a fast-paced setting.
Key Responsibilities:
• Manage complex executive calendars, scheduling meetings, appointments, and leadership reviews.
• Coordinate domestic and international travel arrangements, itineraries, accommodations, and expense reporting.
• Prepare executive correspondence, reports, presentations, agendas, meeting materials, and business communications.
• Act as a liaison between senior leadership, internal teams, customers, vendors, and external stakeholders.
• Coordinate leadership meetings, staff meetings, business reviews, and special events.
• Record, distribute, and track meeting minutes, action items, and follow-up activities.
• Maintain executive files, records, and sensitive information with the highest level of confidentiality.
• Support budget-related administrative activities, expense tracking, and routine approvals.
• Assist with presentation development, reporting, and basic data analysis using Microsoft Excel and PowerPoint.
• Anticipate executive needs and proactively support organizational priorities and business objectives.
• Collaborate across departments to ensure timely communication and effective coordination of activities.
Required Qualifications
• High School Diploma or equivalent.
• 5+ years of experience supporting executives, senior leaders, or leadership teams.
• Experience managing complex executive calendars and scheduling priorities.
• Experience coordinating travel arrangements and processing expense reports.
• Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
• Excellent written and verbal communication skills.
• Strong organizational skills with exceptional attention to detail.
• Ability to manage multiple priorities in a fast-paced environment.
• Experience handling confidential and sensitive information with discretion.
• Strong interpersonal skills and ability to work effectively with all levels of an organization.
Preferred Qualifications
• Bachelor's Degree.
• Experience supporting Vice Presidents, Directors, General Managers, or C-suite leaders.
• Experience coordinating international or global travel.
• Experience creating executive-level presentations, reports, and dashboards.
• Exposure to AI productivity tools such as Microsoft Copilot, ChatGPT, or similar technologies.
• Experience working within large corporate or matrixed organizations.
