We are seeking an Executive Administrator to join our administrative team. The Executive Administrator provides high-level administrative support to executives by managing schedules, communications, and day-to-day tasks. This position requires a highly organized, detail-oriented, and proactive individual capable of handling sensitive information with discretion. The Executive Administrator serves as a liaison between executives and other stakeholders, ensuring efficient operations and timely completion of projects.
RESPONSIBILITIES:
Executive Support:
Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
Prioritize and respond to incoming communications (calls, emails, and correspondence).
Prepare agendas, take minutes, and follow up on action items for executive meetings.
Draft and proofread emails, letters, reports, and other business correspondence.
Project Management:
Assist in managing ongoing projects, ensuring deadlines are met, and provide progress reports.
Coordinate cross-departmental collaboration for specific projects and initiatives.
Organize and track the completion of important tasks and projects.
Communication Management:
Act as a point of contact for internal and external stakeholders.
Handle sensitive or confidential information with the highest level of discretion and professionalism.
Liaise with staff, clients, and vendors as needed.
Document and File Management:
Organize and maintain electronic and paper files for easy access and retrieval.
Ensure proper document management systems are in place and regularly updated.
Event and Meeting Coordination:
Plan and coordinate executive meetings, conferences, and company events.
Organize logistics for internal and external meetings, ensuring all materials are prepared and distributed in advance.
Budget and Financial Support:
Assist with budget tracking, invoicing, and processing of expense reports.
Help manage executive’s financials by maintaining records of expenditures and supporting financial planning.
REQUIREMENTS:
Experience: 3+ years of administrative experience, preferably in a corporate or executive setting.
Education: Bachelor’s degree in business administration, communications, or a related field preferred.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with project management tools (e.g., Asana, Trello) and CRM systems.
Organizational Skills: Excellent time-management skills and the ability to prioritize tasks effectively.
Communication Skills: Strong written and verbal communication skills; ability to interact with high-level executives, clients, and stakeholders.
Attention to Detail: Ability to manage multiple tasks with precision and accuracy.
Problem-Solving: Strong critical thinking and problem-solving abilities.
Discretion: Ability to maintain confidentiality and exercise sound judgment.
Adaptability: Capable of working in a fast-paced and dynamic environment.
