The Executive Administrator supports an executive through their daily role functions, allowing our leaders to maximize efficiency and positively impact our clients, talent, and internal teammates. This position is an essential part of our continued success as an organization.
We are seeking a highly organized, proactive, and relationship-driven Executive Administrator to join our team on a temporary basis to provide maternity leave coverage for one of our Executive Administrators. This role is expected to go until December 2026, with the potential for extension based on business needs.
The ideal candidate for this role will have experience supporting a C-level executive that is actively involved in all leadership functions for the organization. This individual will work closely with the Executive team and field leadership on both daily operations and large initiatives. We are seeking a candidate who can offer expertise as an executive assistant and one that will work well within Medix’s ever-changing environment.
Duration – Temporary to December 2026 (with the potential for extension based on business needs)
Responsibilities:
As an Executive Administrator, you'll provide high-level administrative and operational support to executive leaders while helping drive communication, coordination, and execution across the organization.
- Manage complex calendars, meeting schedules, travel arrangements, and executive priorities.
- Coordinate internal and external meetings, including preparing agendas, materials, presentations, and follow-up communications.
- Screen and manage incoming communications, ensuring executives remain focused on the highest priorities.
- Support cross-functional projects and initiatives by coordinating stakeholders, tracking deliverables, and following up on action items.
- Prepare reports, presentations, and other business documents with accuracy and attention to detail.
- Organize executive meetings, leadership events, offsites, and company-wide communications.
- Handle confidential information with professionalism and sound judgment.
- Build strong partnerships across departments while serving as a key point of contact for executive leadership.
- Continuously identify opportunities to improve processes, increase efficiency, and enhance the executive experience.
Skills and Qualifications:
- Associates degree and a minimum of 2 years of administrative experience
- Excellent communication skills, interpersonal skills, ethics, and cultural awareness
- Resourceful, problem-solving aptitude
- Ability to act with integrity, professionalism, and confidentiality
- Excellent organizational skills
- Excellent time management skills
- Ability to prioritize tasks and to delegate them when appropriate

- Demonstrates initiative
- Microsoft Office and/or Google Suite skills, including a strong understanding of Excel, GMail, Google Drive, Google Sheets, etc.
