Position Overview
The Executive and Personal Assistant provides comprehensive, 24/7 support to an executive by managing both professional and personal responsibilities. This role ensures the smooth operation of the executive’s daily life, handling administrative tasks, scheduling, and personal needs to maximize efficiency and productivity. The position requires high availability, flexibility, and a proactive approach to meet the demands of a dynamic lifestyle.

Key Responsibilities
Professional Responsibilities:
Administrative Support:
Manage complex calendars, scheduling meetings, appointments, and travel arrangements.
Prepare and edit correspondence, presentations, and reports.
Handle confidential and sensitive information with discretion.
Meeting and Communication Management:
Coordinate and prioritize meetings, prepare agendas, take minutes, and track follow-ups.
Act as the primary liaison between the executive and internal/external stakeholders.
Screen, prioritize, and respond to emails and phone calls on behalf of the executive.
Project Coordination:
Assist with corporate initiatives and special projects as directed by the executive.
Conduct research and compile information to support decision-making.
Operational Efficiency:
Manage budgets, process expense reports, and oversee vendor relationships.
Proactively identify and resolve administrative challenges.
Other Responsibilities
Personal Schedule Management and Related Responsibilities:
Organize personal appointments, family commitments, and social events.
Ensure a seamless integration of personal and professional calendars.
Handle personal matters, including errands, bill payments, and reservations.
Oversee household operations and related matters, including liaising with staff, contractors, and service providers.
Travel and Event Coordination:
Plan and organize domestic and international travel, including itineraries, accommodations, and transportation.
Assist with planning personal and professional events.
Special Projects:
Manage personal projects or family-related initiatives.
Research and provide recommendations for purchases, experiences, or activities.
Qualifications
Proven experience as an Executive and/or Personal Assistant in a high-demand, 24/7 capacity.
Exceptional organizational and multitasking abilities.
Proficiency in office and scheduling software (e.g., Microsoft Office, Google Workspace).
Strong communication and interpersonal skills.
Ability to maintain discretion and professionalism at all times.
Adaptable and proactive approach to solving problems.
Additional Requirements
24/7 Availability: Must be reachable at all times to address urgent matters and last-minute changes.
Flexibility to work outside of regular business hours, including evenings, weekends, and holidays as needed.
Ability to handle competing priorities and manage a fast-paced, demanding environment.
Strong understanding of personal and professional boundaries.
