Responsibilities

Manage expense reports; create and prepare confidential communication; arrange comprehensive travel plans, itineraries, and agendas; and compile documents for travel-related meetings weekly.

Research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.

Communicate directly with the team and relevant stakeholders on matters related to projects and initiatives.

Manage non-disclosures, including management of documents, correcting contract content where needed, and accurate management of all executed materials.

Organize committees/meetings; facilitate technology, coordinate, and distribute all materials weekly, monthly, and quarterly for leadership meetings, earnings calls, etc.

Complete lender reporting quarterly for each property.

Run reports and assist analysts in retrieving additional information.

Manage scheduling and travel plans for the Board of Directors quarterly meeting.

Work cooperatively with other administrative assistants, in a positive partnership to back up each other smoothly.

Perform additional tasks as needed by the team.

Ideal Experience

Bachelor’s degree with current experience supporting executive leadership.

Strong PC skills – MS Outlook, Word, Excel, and PowerPoint.

Effective communication with outstanding writing skills.

Advanced ability to organize, prioritize, multi-task, and manage competing priorities.

Tact, good judgment in confidential situations, and proven experience interacting with senior management.
