About the Role

Our client is looking for a sharp, highly organized, and dependable Operations Specialist to support a fast moving entrepreneur across both business and personal operations. This role requires someone who is proactive, able to anticipate needs before they arise, and comfortable working in a high velocity environment across venture investing, ecommerce, Marketing, Logistics, Supply chain and Transportation. This is not a passive or reactive role. The ideal candidate takes ownership, moves quickly, communicates clearly, and ensures everything runs smoothly on a daily basis.

Key Responsibilities

Calendar & Schedule Management

  • Own and manage multiple Google Calendars, ensuring zero conflicts and full visibility at all times.
  • Schedule, reschedule, and prioritize meetings with investors, founders, clients, and personal contacts.
  • Send timely reminders and daily briefings so the principal is always prepared and never caught off guard.
  • Block and protect focus time, ensuring the day flows with intention.

Communications & Coordination

  • Monitor and manage inboxes by drafting replies, flagging urgent items, and filtering out unnecessary noise efficiently.
  • Coordinate and attend meetings when needed, take notes, and ensure action items are followed through.
  • Communicate with clients, partners, and vendors on behalf of the principal in a professional and timely manner
  • Proactively identify issues, bottlenecks, or anything requiring attention before it becomes a problem

Travel & Logistics

  • Book and manage all travel: flights, hotels, ground transportation, and itineraries
  • Handle last-minute changes or disruptions calmly and efficiently
  • Build detailed travel packs so every trip is seamless from door to door.

Personal Assistance

  • Handle personal errands and orders including gifts, flowers, reservations, subscriptions, and other requests
  • Manage personal bills and payments while ensuring nothing gets missed or overlooked
  • Research and recommend suitable options for anything needed, including restaurants, vendors, and services
  • Handle sensitive matters with professionalism and discretion at all times

Day-to-Day Operations

  • Keep all systems, lists, and priorities organized and up to date.
  • Identify and correct errors or inefficiencies before they escalate.
  • Track deadlines, deliverables, and commitments across business and personal fronts
  • Manage vendor relationships, service providers, and recurring tasks

Tools & Tech You'll Be Working with

You should be comfortable with, or able to quickly learn and adapt to, the following:

Communication & Calendar,

  • Google Workspace including Gmail, Google Calendar, GDrive, Docs &
  • Sheets.Slack and iMessage for day to day communication, managing conversations, reminders, follow ups, and staying on top of async communication
  • Zoom and Google Meet for scheduling, hosting, and managing video calls

Project & Task Management

  • Notion: organizing notes, wikis, SOPs, and task tracking
  • Asana, Monday.com, or similar: managing project timelines and to-do lists
  • Trello or Linear: comfortable adapting to whichever PM tool is in use

AI & Productivity

  • ToolsChatGPT, Claude, and Manus for drafting, summarizing, researching, and improving speed and efficiency across tasks
  • Loom or similar tools for async video communication, updates, and walkthroughs
  • Zapier or Make (Integromat) is a strong bonus, especially if you can automate repetitive workflows and improve operational efficiency

Finance & Admin

  • Expensify, Brex, Stripe, or similar platforms for managing expenses, receipts, payments, and financial tracking
  • Basic familiarity with invoicing and bill management tools

What We're Looking For

  • Proven experience (1- 5 Years )as an Executive Assistant, Personal Assistant, or Chief of Staff, ideally supporting a founder, executive, or investor
  • Exceptional proficiency with Google Workspace including Gmail, Google Calendar, Google Drive, Docs, and Sheets
  • Strong written and verbal communication skills with the ability to remain clear, concise, and professional at all times
  • A proactive mindset with a strong sense of ownership, able to anticipate needs and take initiative without constant direction
  • Highly detail oriented with the ability to manage multiple priorities while staying organized
  • and reliableDiscretion and professionalism when handling sensitive or confidential information
  • Comfortable operating in a fast paced and constantly evolving environment
  • Familiarity with ecommerce, Logistics, Supply chain, Transportation, marketing and startups, or venture capital environments is a strong advantage
  • Tech savvy with the ability to quickly learn new tools, systems,and workflows

Working Hours & Availability

  • Monday to Friday, 9:00 AM – 5:00 PM Eastern Time (EST)
  • Must be reachable via phone, Slack, iMessage, and text throughout working hours on weekdays
  • Occasional flexibility may be required for time sensitive situations, as this is a high trust and high availability role
  • This is a fully remote position
