Position Summary
Reporting to the Chief Executive Officer (CEO), the Executive Assistant provides high-level executive and operational support. In a dynamic, fast-changing environment, you ensure smooth coordination of priorities and effective delivery of team and Executive objectives. As a key organizational pivot, you proactively manage complex matters and handle sensitive information with absolute confidentiality.
Responsibilities
- Proactively manage and optimize the CEO’s complex calendar.
- Perform budget follow-up (CEO administrative department), manage expense reports and purchasing processes (DA/PO).
- Organize complex international travel (itineraries, logistics).
- Support updates to internal controls (ICSA) and prepare data analysis reports.
- Plan and coordinate internal and external events (year-end party, summer BBQ) and major client visits.
- Manage the crisis team, including strict follow-up of action plans and coordination of required training.
- Act as the primary contact point with internal and external stakeholders while handling highly confidential matters.
- Draft internal and external correspondence in both French and English.
- Maintain strong knowledge and application of company policies and procedures to provide reliable and consistent support to the team.
- Perform other related duties as required.
Requirements
- College diploma (DEC) in administrative techniques, office automation, or other relevant training.
- Minimum of five (10) years’ experience in a similar Executive Assistant role.
- Bilingualism required (French and English).
- Advanced proficiency with Google Workspace or MS Office.
- Proven ability to manage calendars and logistics (complex travel, meetings).
- Strong ability to prioritize tasks, handle urgency and stress, and manage multiple complex files simultaneously.
- Organized, autonomous and rigorous, able to work proactively with impeccable attention to detail.
- Excellent professional judgment, strong sense of confidentiality and diplomacy.
- High energy, team spirit and excellent interpersonal skills to liaise effectively with stakeholders.
- Resourceful and solution-oriented approach to resolve issues quickly.
- Good knowledge and experience working with SAP (an asset).
