- Salary range: €60,000 – €65,000
- Benefits: Private Health Insurance, Discretionary Performance Bonus up to 10% of salary.
- Annual leave: 25 days plus 1 Company Day (Good Friday) and public holidays.
- Office location: Fitzwilliam Hall, Leeson Street, Dublin 2.
- Hours: 9:00am – 6:00pm, five days per week.
- Work arrangement: On-site in the office.
Role Description
A fast-paced organisation in Dublin 2 is looking for an experienced Executive Assistant to support a senior executive across several business interests.
The Executive Assistant will be responsible for high-volume email and calendar management across multiple busy inboxes and time-zones, travel arrangements, expense reconciliation, HR-related administration, and general office support. The role also covers dictation and typing duties, AML documentation processing, and client/meeting facilitation.
Key Responsibilities
- High-volume email management across multiple busy inboxes
- High-volume calendar management and meeting scheduling across multiple time-zones
- Dictation and typing (recording devices available)
- Drafting and proof-reading written communications.
- Preparing Word, Excel, PowerPoint presentations, reports, and other documentation as
- required.
- Scheduling flights, accommodation and car hire.
- Managing employee onboarding and offboarding processes and other HR-related admin.
- Managing a large database of contacts and updating vCards
- Facilitating internal and external client meetings.
- General administration duties (room bookings, filing, photocopying, office stationery orders, etc.)
- AML documentation processing
- Handling expenses, receipts, and credit reconciliations
- Meeting and greeting clients, and ensuring meeting rooms are set up in advance of meetings
- Screening incoming telephone calls
- Supporting and completing ad hoc projects as assigned
Essential Knowledge & Skills
- A minimum of 3 years' proven experience in a similar role.
- Excellent writing and communication skills, including proper use of grammar and spelling; experienced in proof-reading.
- Strong attention to detail.
- The ability to handle sensitive information with discretion and maintain confidentiality.
- Proficient in MS Word, Excel, PowerPoint and Outlook.
- Proactive and keeps ahead of arrangements and requirements.
- Displays good use of initiative and follow-through.
- Excellent verbal communication skills, including active listening.
- The ability to function well and multi-task in a fast-paced, entrepreneurial environment.
- Exceptional organisational and time-management skills.
