Role Description The Executive Assistant is a full-time, on-site role based in Kinshasa, Democratic Republic of the Congo. This role will provide high-level administrative support to school leadership, including managing calendars, scheduling meetings, coordinating travel, and preparing documents and presentations. The Executive Assistant will handle correspondence, organize files, track and process expense reports, and support the planning of internal events and external engagements. Daily tasks include maintaining accurate records, prioritizing incoming requests, and ensuring efficient communication between leadership, staff, students, and external partners. The role requires a detail-oriented, proactive professional who can handle confidential information, anticipate needs, and contribute to a well-organized administrative environment.
Qualifications

  • Strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and document preparation.
  • Proficiency in Administrative Assistance tasks such as filing, record-keeping, office organization, and handling correspondence.
  • Ability to prepare and manage Expense Reports, track budgets, and support basic financial and operational processes.
  • Excellent Communication skills, both written and verbal, with the ability to interact professionally with leadership, staff, students, and external partners.
  • Relevant experience as an Executive Assistant or in a similar administrative role, preferably in an educational or service-oriented environment.
  • Strong organizational and time-management abilities, with attention to detail and capacity to manage multiple priorities.
  • Good proficiency in commonly used office software (e.g., word processing, spreadsheets, email, calendar tools); familiarity with digital collaboration tools is an asset.
  • Professional fluency in at least one major international language (such as English or French); knowledge of additional languages is an advantage.
  • Demonstrated integrity, discretion, and reliability in handling sensitive information.
  • Post-secondary education in administration, management, languages, or a related field is preferred.
