This role is uniquely tailored for a professional who thrives on supporting executives while independently managing smaller agency projects and assisting various departments.
Job Overview:
As the Executive Assistant, you will be a pivotal support figure for the COO & Group MD and other senior leadership, ensuring smooth daily operations and effective time management. Beyond traditional administrative tasks, you’ll handle project coordination for smaller internal and client projects, ensuring they align with agency standards and deadlines. This role requires a highly organized, proactive individual with strong multitasking skills and the ability to work collaboratively across departments.
Key Responsibilities:
Executive Support
Manage and maintain calendars, including scheduling meetings, travel arrangements, and appointments.
Serve as the primary point of contact between the COO/Group MD and internal/external stakeholders.
Prepare and review correspondence, documents, and presentations for executive meetings. Also prepare ppt-presentations in accordance with corporate CI & CD
Handle confidential information with discretion and professionalism.
Maintain organized filing systems, both digital and physical, for easy document retrieval and secure information storage.
Project Coordination
Take ownership of smaller projects, from inception to completion, ensuring timelines and deliverables are met. E.g. PR activities or corporate communication on social media
Oversee special internal projects or initiatives, such as internal events and team-building activities.
Provide regular status updates to the COO/Group MD and other relevant stakeholders, flagging potential issues proactively.
Work with different departments to streamline workflows, implement best practices, and improve internal communication.
Assist in coordinating cross-functional meetings, ensuring follow-up on action items and deadlines.
Qualifications:
Education: Bachelor’s degree in Business, Communications, Marketing, or a related field preferred.
Experience: 5+ years of experience in executive support, preferably in a fast-paced advertising, media, or creative agency environment.
Skills:
Exceptional organizational and multitasking abilities.
Strong written and verbal communication skills (English is must, Arabic preferably)
Proficiency in MS Office Suite (Word, Excel, PowerPoint) and project management software (e.g., Zoho, Monday.com).
Ability to work independently and make informed decisions with minimal supervision.
High level of discretion and professionalism, especially when handling confidential information.
Proactive mindset with hands-on mentality that keeps calm when its getting hectic
