Overview
The Executive Assistant handles a wide range of personal and executive support related tasks. Resolves problems before they escalate. Interacts with all employees, Customers, Board members, and executive team members.
Duties & Responsibilities
Coordinate meetings, conference calls, events, dinners, and conferences
Administratively support select members of the Executive Team
Arrange and coordinate complex domestic and international travel arrangements
Manage sensitive and proprietary information with discretion and confidentiality
Proactively manage complex calendars and remain flexible to multiple and quick changes; coordinate with the calendars of other executives and the Board of Directors
Maintain updated knowledge of the practices and procedures of the company
Develop strong working relationships and display superior interpersonal and communication skills with all levels of the organization, exhibiting positive and professional demeanor
Exercise mature judgment and knowledge of the organization to balance business priorities, individual team needs, executive’s style and company policy
May take meeting notes and create follow-up plans for executives; provide monitoring and follow-through support on action items in progress
Prepare and submit expense reports on behalf of executives
Perform any and all responsibilities as requested
Skills Required
Bachelor’s degree or equivalent experience
Five years of experience as an Executive Assistant supporting executive leaders at the “C” level
Superior integrity with the ability to handle and process confidential and sensitive information
Ability to work with discretion and tact in an environment exposed to a high level of sensitive and confidential information
Excellent interpersonal skills; exceptional listening, verbal, and written communication skills
Comfortable using and adapting to forward looking technology; technology savvy with ability to research topics via the internet
Expert knowledge of MS Office, including Word, Excel, PowerPoint, Outlook, and Internet
Highly proficient in organizing domestic and international travel
Detail oriented with exemplary organization skills
Ability to multi-task and work well under pressure
Highly flexible with an ability to work independently as well as in a team setting
Very punctual, regular attendance
Ability to travel if needed
Flexibility with overtime, often on short notice
Desired Skills and Qualifications:
Experience as a paralegal or with legal contracts and mergers/acquisitions
Experience with Concur/Adelman Travel
Event-planning experience
