Summary
We are seeking an experienced Executive Assistant to provide high-level support to the Executive Vice President. The ideal candidate is a proactive self-starter with strong communication skills, exceptional attention to detail, and the ability to manage multiple tasks and shifting priorities. A minimum of five years of experience supporting senior-level executives is required, along with proficiency in Microsoft Office Suite and strong verbal and written communication skills.
Job Description
Perform administrative tasks such as drafting letters, memos, invoices, reports, and other documents for executives.
Arrange travel and accommodations for executives.
Schedule and coordinate internal and external meetings, both in-person and via video conferencing.
Attend meetings on behalf of executives, taking notes and recording minutes.
Review and manage incoming communications or memos, assess importance, and distribute content as needed.
Manage special projects from initiation to completion, ensuring deadlines are met.
Screen and respond to calls, emails, and other inquiries on behalf of executives.
Handle a high volume of tasks with minimal guidance and maintain flexibility to respond to urgent situations.
Maintain a high level of integrity and discretion when handling confidential information.
Professionally represent the organization in all interactions with employees, vendors, and external partners.
Perform other related duties as assigned.
Required Qualifications:
Bachelor’s Degree in Business, Human Resources, or a related field.
Bilingual proficiency in English and Spanish.
Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
Exceptional organizational, problem-solving, and interpersonal skills.
Ability to prioritize tasks, manage deadlines, and handle multiple projects simultaneously.
Strong verbal and written communication skills.
Ability to collaborate effectively with executives and management teams.
Ability to perform the physical requirements of the position, with or without reasonable accommodations.
Salary: $70,105.00 – $130,000.00
