Role Description
The Executive Assistant/Operations Associate plays a critical role in processing of new business, new requests, activities that help facilitate smooth operations and efficiency. Responsibilities include day to day business processing activities with specific deadlines and strict highly regulated requirements. The operations associate helps ensure that clients have a smooth experience around logistics related to their financial needs with the firm.
Responsibilities & Activities:
Processing of new accounts: profiles, access, and other setup needs
Processing and oversight of asset transfers from initiation until transfers are received and audited for accuracy.
Processing of new money such as wires, ach, checks, and redemptions out to investment accounts: “Money Movement Requests”
Processing of beneficiary changes or updates to account settings and profiles
Maintain organized electronic filing of meeting notes/materials/deliverables within CRM and ClientWorks
Client Written correspondence to be processed around summary letters and meeting requests
Coordinate state, SEC, FINRA, and NASD licensing renewals and scheduling of mandatory CE or Firm Element
Handles miscellaneous operational activities
Maintain electronic logs of all activities stored in practice management CRM
Priority Items deemed same day are completed same day

A sharp focus and attention to details; our business requires accurate translation or understanding of data to process business efficiently without errors.
Excellent organizational and time management skills
An ability to multi-task across many areas of the business in a given day
Strong proficiency with Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint.
Social media tools, Marketing/Event Planning
Experience using a Client Relationship Software (CRM) within a professional services business
