About The Role

We are seeking a highly experienced and proactive Executive Personal Assistant to provide comprehensive administrative and personal support to our executive management team. This role requires a high degree of discretion, confidentiality, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

Executive Support:

Manage complex calendars, scheduling appointments, and coordinating meetings for Grasshopper’s Executive Management team

Manage scheduling and logistics for travel

Prepare and manage expense reports, ensuring accuracy and timely submission

Prepare presentations, reports, and other documents as required

Conduct research and gather information on various topics to support executive decision-making

Act as a liaison between Executive Management and internal/external stakeholders

Administrative Management:

Maintain organized filing systems, both physical and electronic

Manage and prioritize multiple projects and tasks simultaneously

Handle confidential information with utmost discretion

Anticipate the needs of the executives and proactively address potential issues

Coordinate and manage executive team meetings, including preparing agendas and taking minutes

Assist with special projects and events

Team Support:

Provide support to the broader executive team as needed

Collaborate with other administrative staff to ensure smooth office operations

Assist with onboarding new team members

Qualifications

Min 5-8 years of relevant experience supporting senior-level executives

Exceptional organizational, time-management, and multitasking skills

Excellent written and verbal communication skills

Proficiency in Google Suite of tools

Strong attention to detail and accuracy

Ability to maintain confidentiality and exercise discretion

Proactive and resourceful with a strong problem-solving aptitude

Ability to work independently and as part of a team

Experience managing multiple executives is highly preferred
