Meta is seeking an experienced Executive Administrative Partner/Office Manager to support up to two directors in the Meta leadership team and an office. The person in this role will need to be an excellent problem-solver, detail oriented and organizationally skilled to manage nuanced calendaring and travel planning. Additionally, the ideal candidate will have exceptional communication skills, and will be resourceful in building relationships across the larger Meta ecosystem. This position is full-time and based in our Jakarta office.
Executive Assistant Responsibilities:
Coordinate internal and external meetings.
Manage complex calendar set-up and movement
Prepare expense reports and purchase requisitions
Coordinate both domestic and international travel arrangements
Organize space planning for the site, strategic offsite events and all-hands meetings
Build cross-functional relationships between departments
Act as the main Point of Contact for the entire office
Provide operational support for the entire office to include partnering with IT, Facilities, Culinary, Security, and Health and Safety teams (where these resources exist)
Own and curate Office Welcome for all new hires
Act as a POC for sending and receiving all mail for employees
Organize Office events, initiatives, and Questions and Answers
Maintain and conduct inventory of office supplies
Be responsible for site specific communications
Minimum Qualifications:
3+ years of relevant experience providing administrative support to one or more executives
3+ years of relevant experience coordinating travel logistics on behalf of 1 or more executives
3+ years of relevant calendar management and expense report management experience for 1 or more executives
Experience balancing competing priorities
Experience with Microsoft Office and Google Suite
Preferred Qualifications:
BA/BS
Experience working with experienced leaders, both within and outside of the company
Experience managing complex calendars with heavy travel schedules
Possesses a can-do attitude and willingness to support cross-functional-partners with projects, events, and onsite office support as needed
Flexibility with coordinating across multiple time zones
Experience supporting cross-regional teams
Experience driving events and fostering team collaboration
Experience collaborating and partnering closely with other administrative professionals and key cross functional partners
Experience maintaining confidentiality and discretion in all partnerships
Experience building and maintaining trust with leadership and partners
Experience in prioritizing multiple assignments quickly
Experience in multitasking and changing direction quickly
