Primary Responsibilities
Provide administrative support to the Head of Intermediary Sales
Diary and meeting management across various time zones; organising internal and external meetings, scheduling zoom calls and room bookings
Preparing materials for internal and external meetings
Inbox management – identifying and addressing urgent and important emails
Salesforce input for all client meetings and business contacts
Provide phone coverage and manage messages
Coordinate travel arrangements, including flights, hotels, visas, ground transportation and preparing travel itineraries
Process business expense and perform monthly reconciliation of the corporate card statements
Complete any compliance forms in-line with Neuberger Berman’s gift and entertainment policy
Manage input of Senior Managers and Certification Regime (“SMCR”) tracker
Complete all mandatory compliance training and affirmations, and implement regular reminders for Head of Intermediary Sales
Provide admin coverage for other Executive Assistants
Key Requirements / Qualifications
Previous experience as a senior executive assistant, ideally within the financial services industry
Ability to perform in fast paced environment
Ability to effectively work with senior level individuals throughout the firm
Excellent organizational and communication skills
High level of attention to detail
Strong time management skills; ability to prioritize multiple tasks efficiently
Resourceful and able to handle multiple and changing priorities
Proactive in following up on details, anticipating issues, and completing tasks in a timely manner
Must have excellent manners on the phone and in person, and a strong client service focus in an intense work environment
Ability to exercise discretion when managing confidential information
Proficiency in Microsoft Office (e.g. Excel, Word, PowerPoint, and Outlook)
