Now, we’re looking for a right-hand person to our executive team—a powerhouse administrative partner who thrives on bringing order to chaos, loves wearing multiple hats, and can pivot between managing legal docs, booking flights, and making sure the dogs get a walk.
The Role
This isn’t your average admin job. You’ll be at the center of business operations, providing top-tier executive support while also keeping our books in order and our day-to-day humming. You’ll manage complex calendars, coordinate banking and legal documentation, and occasionally lend a hand with personal and household logistics. If you’re the type who gets energy from solving problems before they’re even noticed—and can switch from spreadsheets to scheduling in a heartbeat—we want to meet you.
What You’ll Do
Business & Financial Coordination
Manage bookkeeping for multiple businesses (real estate, vehicle leasing, etc.)
Reconcile accounts and track bank activity across institutions
Monitor loan terms, balances, expirations, and key milestones
Handle physical and digital deposits and banking tasks
Prepare clear financial summaries for the executive team and partners
Executive & Personal Support
Maintain calendars, arrange travel, and keep daily operations seamless
Handle scheduling and coordination across multiple time zones and entities
Assist with occasional personal admin, including light household support and caring for office dogs
Maintain a proactive “no detail too small” mindset
Legal & Compliance Management
Track and organize legal documents, leases, and agreements across all entities
Liaise with attorneys, banks, and business partners to ensure deadlines are met
Keep secure records of all contracts and compliance docs
Banking & Vendor Relationships
Serve as the executive team’s liaison with banks, vendors, and service providers
Manage loan-related documentation and coordinate account updates
What You Bring
3+ years’ experience in executive support, bookkeeping, or business admin
Comfort with QuickBooks (or similar software) and Microsoft Excel
High attention to detail and knack for organization
Familiarity with real estate, finance, or legal operations a plus
Positive energy, reliability, and a “figure it out” attitude
Valid driver’s license and access to a vehicle for occasional errands and banking
