Position Overview:

We are seeking a highly organized and tech-savvy Executive Assistant to join our team in Long Beach. This full-time, on-site role is essential to supporting our leadership and account management teams by maintaining calendars, sending timely meeting reminders, managing CRM’s, and coordinating daily routes for account managers. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment.

Key Responsibilities:

Calendar Management: Maintain and update executive and team calendars with meetings, appointments, job walks, and deadlines.

Meeting Reminders: Proactively send reminders to internal staff and managers for upcoming meetings, calls, and tasks.

Task Management: Use Monday.com to organize, assign, and follow up on tasks across departments.

Route Planning: Coordinate daily routes and schedules for account managers, ensuring efficient time and territory management.

Administrative Support: Assist with general office tasks including document prep, data entry, and vendor/client communication.

Client Support: Assist in onboarding processes by organizing documentation, scheduling follow-ups, and updating CRM records.

Team Coordination: Collaborate with multiple departments and act as a communication bridge between office and field staff.

Qualifications:

2+ years of experience as an Executive Assistant, Office Manager, or similar administrative role.

Proficient in CRM’s (or similar task/project management platforms).

Strong working knowledge of calendar and email management tools (Google Workspace, Outlook, etc.).

Excellent organizational and time-management skills.

Strong written and verbal communication abilities.

Ability to handle sensitive information with discretion and professionalism.

Familiarity with the plumbing, construction, or service-based industries is a plus, but not required.

High school diploma or equivalent required; college coursework or certification is a plus.

Must have reliable transportation (mileage reimbursement for local travel provided).
