Overview
The Executive Assistant will handle a wide range of administrative support needs for assigned senior leaders. You should exhibit professionalism, solid judgment, discretion, and excellent written and verbal communications. You will be proactive in anticipating and prioritizing the business needs of the senior leadership, and will have superb time management skills, a productive approach toward work, and a strong sense of urgency.
Responsibilities
- Manage and maintain calendar schedule; monitoring, updating, and prioritizing utilizing good judgment and strong decision-making skills
- Manage travel arrangements including flights, hotels, and ground transportation
- Expense reporting – T&E preparation and submission
- Gain an understanding of overall direction of the business and help facilitate efforts to drive that direction forward
- Willingness to engage in and coordinate cultural activities of the agency in partnership with management and executive teams
- Own end-to-end meeting scheduling and logistics for client and team meetings, including room bookings, catering orders, and remote participant support
- Develop, review, and edit regular and confidential correspondence, presentations, and reports
- Attend regular executive meetings to record notes and follow up actions
- Demonstrate confidentiality when handling sensitive information and matters
- Basic project management of executive initiatives
- Build effective, professional relationships with co-workers, clients and business partners. Work closely with Finance, building resource and executive and admin assistants to adhere to company policies
- Perform duties and projects as assigned by senior executives, including support of the New Business team when needed
- Assist and provide event planning support for company-wide town hall meetings, partner-hosted events, and other agency-wide gatherings, including educational sessions, training programs, and leadership initiatives
- Handle last-minute changes with professionalism, anticipate conflicts, and communicate backup plans. Anticipate resource needs and adjust plans as required
Qualifications
- 3-5+ years as an Administrative or Executive Assistant
- Previous experience in dealing with confidential information and with senior management
- Proficiency in Microsoft Office products – Outlook, Word, Excel, PowerPoint
- Excellent verbal, written and interpersonal skills
- Strong organizational, analytical and problem-solving skills
- Demonstrate attention to detail and accuracy
- Ability to take initiative, work independently, and effectively under pressure to produce accurate and consistent results
- Ability to prioritize and manage multiple tasks; demonstrate agility and flexibility

Compensation Range: $65,000- $80,000 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met.
