Overview:

We’re seeking a highly organized, skilled communicator to support our Principals/Owners of our studio. Our studio, based in the Dogpatch neighborhood of San Francisco, focuses on the design of private residences and other special commissions. This position will spend a majority of their time supporting our Founder, Richard Beard, in addition to our Principals/Owners. Occasional nights and weekend availability is expected. This position reports to the Director of Operations and supports additional studio needs as requested by the Principals and Director of Operations.

Qualifications:

Bachelors degree or equivalent

5+ years executive assistance experience

Strong verbal and written communication skills

Excellent interpersonal and customer service skills

Strong organizational skills with a propensity to follow through

Exceptional attention to detail; exceptional experience in scheduling

An aptitude for technology

The ability to maintain confidentiality of sensitive business and personal matters

Summary of Responsibilities, Candidates should be able to demonstrate ability in the following areas of professional practice:

Manage calendars to meet professional and personal priorities, confirm meetings with internal and external attendees; proactively manage and resolve scheduling conflicts.

Serve as first line of contact between Principals and employees, clients, and internal and external colleagues. Provide general tech support.

Input time and expenses on behalf of Principals into internal time tracking systems.

Coordinate travel arrangements, itineraries, and expense tracking.

Organize and file documents, maintain diligent record keeping.

Coordinate client meetings, gifts, and assist with events.

Monitor and maintain Principals’ architectural memberships and licenses.

Assist Marketing team with special projects. Experience with Photoshop, InDesign, Adobe Creative Suite is preferred but not required.

Field and ensure completion of requests from other team members as needed.

Format and print a range of documents, arrange for messengers or shipping as needed.

Compile presentations and materials by request.

Complete a variety of business and personal assistance requests as needed.

Schedule, Benefits, and Compensation:

This is a full-time, non-exempt position. This position may occasionally require flexibility with business hours. Starting at $110,000.00 DOE with a lucrative benefits package including vacation and sick paid time off, medical, vision, and dental insurance, 401k employer contribution, profit sharing, and defined benefit/cash balance plan. Additional benefits include staff social events and field trips, wellness and professional development allowances, and paid parental leave.
