We're looking for an experienced and proactive Executive Assistant to the General Manager to become a trusted partner to our leadership team. This role combines executive support, project coordination, operational follow-through, and occasional personal assistance to the General Manager. You'll play a key role in keeping priorities organized, ensuring projects move forward, and helping the GM stay focused on what matters most.

What You'll Do

  • Manage the General Manager's business and personal calendar, meetings, appointments, and travel arrangements.
  • Provide day-to-day executive and occasional personal administrative support to maximize the GM's efficiency and productivity.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Organize reports, presentations, and important business documents.
  • Act as the communication bridge between the General Manager and Heads of Departments, ensuring priorities and decisions are communicated effectively.
  • Coordinate and track projects, deadlines, and operational initiatives using Asana and other collaboration tools.
  • Support the implementation of SOPs, process improvements, and cross-functional projects.
  • Coordinate with suppliers, external partners, and stakeholders when required.
  • Assist in gathering information, preparing reports, and supporting strategic decision-making.
  • Represent the General Manager in selected meetings when required and communicate key outcomes clearly.
  • Handle confidential business and personal information with the highest level of professionalism and discretion.

What We're Looking For

  • Minimum 3 years of experience as an Executive Assistant, Personal Assistant, or in a similar executive support role.
  • Excellent organizational, coordination, and time-management skills.
  • Strong communication skills in both English and Bahasa Indonesia.
  • A proactive, solution-oriented mindset with excellent follow-through.
  • Strong analytical and problem-solving abilities.
  • Comfortable managing multiple priorities in a fast-paced environment.
  • Proficient in Google Workspace, Asana, or similar productivity tools.
  • Familiarity with Odoo ERP is a plus.
  • Experience in Front Office, Guest Relations, Executive Office, or the hospitality, wellness, or lifestyle industry is a strong advantage.
  • High level of integrity, professionalism, discretion, and attention to detail.
