On behalf of our corporate client, Procom is searching for an Executive Assistant for a short 3-Months Contract role on W2. This position is onsite at our client’s San Francisco office.

Executive Assistant – Job Description:

The Executive Assistant will perform a variety of administrative and clerical tasks, including financial and human resources administration, to support one or more Managers and their direct reports. This role ensures all administrative and operational processes are followed while identifying and implementing improvement opportunities to enhance the efficiency of the business group.

Executive Assistant – Responsibilities:

• Leads the planning, coordinating, and implementing department events.

• Provides senior-level administrative and operational support within a large, diverse team including one or more senior executives.

• Manages information using systems like customized exception reports and tracking reports.

• Integrates information from multiple sources to enhance processes and reporting.

• Provides input into planning and implementing administrative programs.

• Builds effective relationships with internal/external stakeholders.

• Gathers and formats data into regular and ad-hoc reports, and dashboards.

• Coordinates and monitors budgets and reports on results vs. budget.

• Provides coaching and mentoring to more junior administrative assistants.

• Manages calendars, meeting invitations, and resources for smooth meeting facilitation.

• Develops and maintains a filing system for business and operational documentation.

• Supports communication development, including writing, editing, and distributing materials.

• Processes invoices and tracks departmental expenses.

• Makes travel arrangements, including flight and hotel bookings.

• Liaises with internal units and external vendors for office planning and relocations.

• Maintains supplies inventory and tracks staff availability.

• Coordinates training requirements for staff.

• Proposes creative solutions and exercises judgment to solve problems.

Executive Assistant – Mandatory Skills:

• 5-7 years of relevant experience in an administrative/professional support function.

• Specialized knowledge from education and/or business experience.

• In-depth verbal & written communication skills.

• In-depth collaboration & team skills.

• In-depth analytical and problem-solving skills.

• In-depth attention to detail & organizational skills.

Executive Assistant – Nice-to-Have Skills:

• Experience with financial administration.

• Familiarity with human resources processes.

• Ability to manage multiple priorities.

• Proficiency in office management software.

• Experience in a corporate environment.

Executive Assistant – Assignment Length:

3- Months Contract on W2
