GET TO KNOW YOUR AREA:
- The Executive Assistant provides high-quality administrative and coordination support to the Chief Supply Chain Officer (CSCO), enabling effective time management, seamless executive operations, and efficient coordination across the global Supply Chain Leadership Team.
- The role ensures smooth execution of executive travel, meetings, reporting, communications, financial processing, and leadership events.
YOUR MISSION WILL BE TO:
Executive & Calendar Support:
- Manage the CSCO’s complex calendar, including scheduling, prioritizing, and coordinating internal and external meetings across time zones.
- Prepare meeting agendas, coordinate logistics, and ensure timely distribution of materials.
- Organize and manage all domestic and international travel arrangements for the CSCO, including itineraries, visas, accommodation, and expense documentation.
Leadership Team Coordination & Communications:
- Coordinate Supply Chain Leadership Team meetings, townhalls, and communication events.
- Support planning and execution of internal leadership forums, workshops, and offsites.
- Act as a point of coordination for leadership communications, ensuring consistent information flow and timely follow-ups.
Reporting& Documentation:
- Consolidate reports, presentations, and updates for the CSCO from multiple stakeholders.
- Support preparation of executive-level briefing materials and dashboards.
- Ensure accuracy, formatting, and confidentiality of executive documentation.
Financial & VendorAdministration:
- Process Purchase Requisitions (PRs) and Purchase Orders (POs) for global Supply Chain vendors.
- Partner with Finance and Payments teams to ensure timely and compliant vendor payments.
- Track spend and maintain documentation in accordance with internal controls and procurement policies.
Events & Stakeholder Engagement:
- Organize internal and external seminars, conferences, and events for the Supply Chain Leadership Team.
- Coordinate logistics including venues, vendor engagement, communications, and attendee management.
- Support stakeholder visits and leadership engagements as required.
Additional support: Assist with the local team admin. Provide occasional support to the local team during visits.
ARE YOU READY FOR THE ROLE?
Main requirements:
- Proven experience supporting senior leadership or C-level executives.
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and collaboration tools
- Strong written and verbal communication skills in English (additional languages are a plus).
- Experience in calendar management, travel coordination, and meeting logistics.
- Familiarity with expense reporting systems and procurement tools.
- Strong organizational skillswith the ability to multitask and prioritize effectively in a fast-paced environment.
- Strong attention to detail and a high level of accuracy.
- Proactive mindset with the ability to anticipate needs and take initiative.
- Discretion and confidentiality in handling sensitive information.
- Excellent interpersonal skills, capable of building strong relationships at all organizational levels.
