Full Job Description

We are looking for a responsible Executive Assistant to perform a variety of administrative and clerical tasks for a Real Estate office. Executive Assistant will report directly to the Executive Vice President. Duties of the Executive Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Executive Assistant responsibilities include preparing reports and maintaining appropriate filing systems, making and returning calls, assisting in the paperwork for all buying and selling of properties, etc. Supporting other staff when needed. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like Google Docs and office equipment. This person should also be able to get a lot done in a short period of time and have excellent prioritization skills. If you have previous experience as a Secretary or Executive administrative assistant and familiarity within Real Estate, we’d like to meet you. Ultimately, a successful EXEC Assistant should ensure the efficient and smooth day-to-day operation of our office. Small travel will be required so must have reliable transportation.

Responsibilities

Answer and direct phone calls

Organize and schedule appointments

Return emails and phone calls within 24 hours

Write and distribute email, correspondence memos, letters, faxes and forms

Assist in the preparation of regularly scheduled reports

Develop and maintain a online filing system

Update and maintain office policies and procedures

Order office supplies and research new deals and suppliers

Maintain contact lists

Assist managers with paperwork for buying and selling of homes.

Assist managers with rental property utilities and bills

Provide general support to visitors

Act as the point of contact for internal and external clients

Liaise with executive and senior administrative assistants to handle requests and queries from senior managers

Assist field agent with move in and move out inpsections for rental properties when needed.

Complete mid-lease inspections for rental properties.

Skills

Proven experience as an administrative assistant or office admin assistant

Knowledge of office management systems and procedures

Working knowledge of office equipment, like printers and fax machines

Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)and Google Docs

Excellent time management skills and the ability to prioritize work

Attention to detail and problem solving skills

Excellent written and verbal communication skills

Strong organizational skills with the ability to multi-task

High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

Job Type: Full-time

Pay: From $20.00 per hour
