Position Overview
As the Executive Assistant to the Director of Patient Care Services (DPCS), you will play a vital role in supporting daily operations, managing key initiatives, and ensuring seamless program execution. You’ll be a cornerstone of the executive team, acting as the primary point of contact for the DPCS and assisting in the smooth operation of the agency. Key Responsibilities
Program Management & Support:
• Oversee and track the progress of departmental goals and initiatives.
• Lead and manage ongoing projects, ensuring alignment with the Director’s vision.
• Provide guidance and mentorship within the assistant team, offering support across departments as needed.
• Maintain a pulse on all relevant projects and assignments to ensure timely completion.
Schedule & Administrative Support:
• Prioritize complex schedules, meetings, and tasks using sound judgment and foresight.
• Proactively manage the Director’s calendar, anticipating needs and ensuring efficient use of time.
• Handle a wide array of administrative duties, including phone, email, and mail correspondence.
• Organize contacts, manage electronic files, and maintain
up-to-date
records.
• Manage payroll reports and track day-to-day activities across multiple teams.
Communication
& Relationship Building:
• Represent the DPCS with diplomacy and
professionalism
in meetings and communications.
• Handle confidential and sensitive information with the utmost discretion.
• Collaborate effectively with
cross-functional teams
and staff at all levels.
• Draft clear and consistent communications, presentations, and strategic initiatives on behalf of the DPCS.
• Foster positive relationships with colleagues and provide advisory support to managers across departments.
Qualifications & Skills
• 2+ years of administrative experience in a
fast-paced
, high-pressure environment.
• Home Health or healthcare industry experience is highly preferred.
• Proficiency in Microsoft Office, Excel, PowerPoint, Google Workspace, and Keynote. Ability to quickly learn new software applications.
• Strong experience with presentation design and delivery.
• Solid understanding of operational processes and workflows.
• Exceptional interpersonal skills with high emotional intelligence and a diplomatic approach.
