Executive Assistant – Lexington Jobs in Lexington, KY at Amteck
Primary Role:
The Executive Assistant serves a critical role in the business by assisting company executives and key departments with scheduling, organization, and tasks that help advance Amteck’s initiatives and goals. Their primary focuses are mostly related to assisting designated executives with preparing for meetings and presentations, as well as taking notes and assisting with follow-up of action items discussed. The Executive Assistant also helps support and promote company culture by coordinating and facilitating employee celebrations, retreats, events, and team communications.
Responsibilities:
Responsible for providing support as directed to the CEO, President, and Executive Vice President to ensure specific company goals and objectives are met; manage scheduling of calendars, appointments and meetings
Review CEO, President, and Executive Vice President’s calendar on a weekly basis and proactively assist with preparations for scheduled meetings and job site visits, engaging as needed with team members to gather and analyze content prior to the meetings
Assemble information to maximize effectiveness of the engagement such as customer/employee bios, and job site information including project financials
Organize written communication such as agendas and presentations for meetings and conferences; assist CEO, President and Executive Vice President in preparing for these events
Attend meetings as requested by CEO, President, and Executive Vice President to take notes; create lists of action items and assist in following up on those items
Assist executives with screening and prioritizing emails, phone calls and correspondence
Provide assistance to designated executives with personal tasks such as errands, reservations, appointments, purchases, or household coordination as needed
Manage executive team’s domestic and international travel logistics and activities including accommodations, transportation, and meals; create itineraries for travel plans
Organize and plan events as department retreats, executive meetings, summits, employee appreciation events, and holiday celebrations
Draft, review, and prepare communications on behalf of the CEO, President, and Executive Vice President as requested
Coordinate company philanthropic participation as directed
Manage Executive Trello board, review progress, and provide reports to President
Order meals for meetings in the Lexington office with executive team members, visitors from Corporate, division meetings, and client visits
Act as a liaison between internal/external stakeholders
Oversee special projects and initiatives as assigned
Perform general administrative duties such as filing, expense reports and office organization
Handle confidential information with professionalism and discretion
