Overview
We are seeking a highly organized, proactive, and personable Executive Assistant / Office Manager to support the daily operations of our childcare center. This dual-role position ensures the smooth functioning of the center by providing executive-level administrative support to the Director and managing front-office operations. The ideal candidate will be a multitasker with excellent communication skills, a warm demeanor, and a passion for supporting early childhood education.

Responsibilities

Serve as the primary administrative support for the Center Director.

Manage the Director’s calendar, schedule appointments, and coordinate meetings.

Prepare reports, presentations, and internal communications.

Handle sensitive information with discretion and confidentiality.

Liaise with external vendors, partners, and regulatory agencies as needed.

Assist in the preparation for inspections, audits, and licensing requirements.

Office Manager Duties:

Oversee daily front-desk operations, including greeting parents, answering phones, and responding to emails.

Maintain and organize student and staff records in compliance with licensing regulations.

Manage supply inventory and place orders for classroom and office materials.

Process billing, tuition payments, and staff timesheets in coordination with accounting.

Support new staff onboarding and maintain HR files.

Implement and maintain systems for smooth administrative workflows.

Monitor safety and cleanliness standards in office and common areas.

Requirements

Proven experience as an Executive Assistant or Office Manager is required.

Strong computer literacy with exceptional proficiency in Microsoft Office Suite, including Canva, and Google Suite.

Excellent organizational skills with attention to detail.

Ability to manage multiple tasks simultaneously while meeting deadlines.

Strong verbal and written communication skills.

Experience in event planning or coordination is highly desirable.

Ability to maintain confidentiality and handle sensitive information appropriately.

A proactive attitude with a willingness to take initiative in problem-solving.

Job Type: Full-time

Pay: $42,700.00 – $45,500.00 per year
