Job SummaryWe are seeking a highly skilled, detail-oriented, and multilingualExecutive Assistantto provide strategic and administrative support to our CEO and occasionally other members of the executive team. This part-time role requires a professional with exceptional organizational skills, the ability to manage complex schedules, and a proactive approach to ensuring operational excellence. Ideal candidates will have demonstrated executive-level administrative experience, project/event management skills, the ability to travel occasionally, and a preference for those in the Eastern Time Zone.

Key ResponsibilitiesExecutive Support:

Manage complex calendars and schedules, ensuring seamless coordination of meetings, appointments, and travel arrangements.

Screen, organize, and prioritize the executive’s email inbox, flagging critical communications and ensuring timely follow-up.

Act as a trusted gatekeeper for all incoming inquiries, facilitating clear, professional, and efficient communication.

Handle approval requests, document management, and coordination of physical shipments.

Administrative Excellence

Prepare and process expense reports promptly, maintaining meticulous attention to detail.

Provide personal assistance as needed, including handling sensitive personal tasks to alleviate the executive’s workload.

Project And Event Management

Plan, coordinate, and execute small-scale projects and events, ensuring all logistical and operational elements are handled effectively.

Track project milestones and deadlines, providing regular updates to the executive.

Prioritization And Optimization

Evaluate incoming requests and determine priority levels based on strategic importance.

Proactively identify opportunities to enhance productivity and streamline daily operations.

Collaboration And Flexibility

Provide light administrative support to other executives when appropriate, while ensuring the CEO’s priorities remain central.

Adapt to shifting priorities and manage competing demands with professionalism and discretion.

Trust And Confidentiality

Build a strong, trusted relationship with the CEO to take on more responsibilities over time.

Maintain the utmost discretion in handling confidential and sensitive information.

Qualifications

2+ years of proven experience as an Executive Assistant, ideally supporting C-suite executives.

Fluency in English and at least one additional language (French, Italian, or Spanish preferred).

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPo…
