Role Overview
We are seeking a highly organised and proactive Executive Assistant & Project Coordinator to join the Founders’ Office.
This role combines executive support with hands-on project coordination, helping translate discussions into structured actions and ensuring key initiatives are executed effectively.
The successful candidate will play a key support role to the Founders and senior leadership team by helping coordinate initiatives, manage documentation, capture meeting discussions, and ensure that agreed actions are tracked and completed.
This position requires someone who is detail-oriented, proactive, and comfortable working across multiple initiatives simultaneously. The role will suit an individual who enjoys bringing structure to complex conversations and helping teams stay organised and accountable.
You will work closely with the Founders’ team to ensure projects, meetings, and priorities remain organised and well-documented using tools such as Jira and Confluence.
Key Responsibilities
Administrative & Coordination Support
- Provide administrative and organisational support to the Founders’ Office across multiple initiatives.
- Assist with coordinating internal projects by ensuring tasks, timelines, and responsibilities are clearly documented.
- Maintain structured trackers and documentation to help teams stay aligned on priorities.
- Help ensure follow-ups and commitments from meetings are captured and monitored.
Meetings & Action Tracking
- Coordinate and prepare agendas for meetings involving the Founders and leadership team.
- Capture clear and structured meeting minutes.
- Translate meeting discussions into actionable tasks.
- Track actions and follow-ups using tools such as Jira to ensure accountability.
- Maintain Confluence as a central repository for project documentation, meeting notes, and key decisions.
Documentation & Organisation
- Ensure project documentation and meeting records are organised and easily accessible.
- Maintain structured records of decisions, action items, and project updates.
- Assist with preparing summaries, updates, or briefings for internal stakeholders.
Founders’ Office Support
- Provide operational support to the Founders and senior leadership team across ongoing initiatives.
- Assist with coordinating tasks across different teams and departments.
- Help ensure projects maintain momentum by tracking progress and flagging delays or blockers where appropriate.
Skills & Experience
- Experience: Minimum of 3-6 years in an administrative, operations, project coordination, or executive support role.
- Organisation: Highly organised with strong attention to detail and the ability to manage multiple priorities.
- Communication: Strong written communication skills with the ability to produce clear meeting notes and summaries.
- Tools: Familiarity with productivity tools such as Jira, Confluence, Microsoft Office, or Google Workspace.
- Coordination: Comfortable managing schedules, tasks, and documentation across multiple stakeholders.
