Position Overview

The Executive Assistant to the CEO will provide high-level administrative and operational support to senior leadership, ensuring seamless coordination of schedules, meetings, and strategic initiatives. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will collaborate closely with executives and internal teams to support business objectives and maintain efficient workflows.

Must be legally authorized to work in the United States.

Responsibilities

  • Provide high-level administrative support to three senior executives, including managing complex calendars, coordinating meetings, prioritizing scheduling requests, and ensuring leaders are prepared for appointments, presentations, and key business engagements.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, detailed itineraries, and last-minute schedule changes while ensuring a seamless travel experience.
  • Prepare, edit, and distribute executive correspondence, presentations, reports, agendas, meeting materials, and other business documents with a high degree of accuracy, professionalism, and attention to detail.
  • Organize and support executive meetings, client events, leadership functions, and special projects, including venue coordination, catering, logistics, meeting minutes, follow-up actions, and event execution.
  • Process expense reports, manage invoices and vendor communications, maintain electronic records and files, and provide administrative support for various operational initiatives while handling confidential information with discretion.

Required Experience/Skills

  • Minimum of 5+ years of experience providing executive-level administrative support to multiple senior leaders, preferably within a law firm, professional services organization, or other fast-paced corporate environment.
  • Demonstrated expertise managing complex executive calendars, coordinating high-volume meetings, balancing competing priorities, and supporting multiple executives simultaneously.
  • Exceptional written and verbal communication skills, with experience preparing executive correspondence, presentations, reports, and other professional business communications.
  • Strong organizational, project management, and problem-solving skills, with the ability to anticipate needs, work independently, exercise sound judgment, and meet deadlines in a demanding environment.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.

Preferred Experience/Skills

  • Bachelor’s degree preferred.
  • Professional services experience highly desirable.
  • Notary Public certification is a plus.
  • Experience supporting C-level executives in a corporate environment.
  • Ability to handle sensitive and confidential information with discretion.

Education Requirements

  • Bachelor’s degree preferred; equivalent combination of education and experience will be considered.
  • Additional certifications in office administration or executive support are advantageous.
