ARIA and PPCA, Australia’s leading national music industry and music licensing organisations are seeking a highly capable, proactive, and solutions-focused Executive Assistant to support the Chief Executive Officer in a maternity relief position commencing May/June 2025.

This is a unique opportunity to contribute to a fast-paced and high-profile organisation at the forefront of the Australian music industry. In addition to providing high-level executive support, the role involves project coordination and office management responsibilities, including involvement in major initiatives such as the ARIA Awards.

Key Responsibilities

Act as a trusted partner to the CEO by managing a complex, fast-paced calendar and coordinating competing priorities.

Provide high-level administrative and logistical support, including meeting preparation, document management, travel coordination, and expense reporting.

Coordinate board and committee meetings: prepare agendas, compile papers, take minutes, and manage follow-ups.

Liaise with key stakeholders across government, media, and the music industry with professionalism and discretion.

Draft, format, and manage official correspondence and internal communications.

Lead coordination of select projects and events, including the ARIA Awards, internal staff functions, and key industry initiatives.

Oversee operational tasks such as managing ARIA membership and replica award applications, and administering the ISRC registrant process.

Maintain strict confidentiality and exercise sound judgment in handling sensitive matters.

Provide ad hoc personal administrative support as needed.

About You

Proven experience supporting senior-level executives in a high-pressure environment, ideally within media, music, or entertainment.

Exceptional organisational and time-management skills, with the ability to juggle multiple tasks and pivot quickly as priorities shift.

Strong project coordination abilities, with a proactive mindset and keen attention to detail.

Outstanding communication and interpersonal skills, both written and verbal and a positive mindset.

High proficiency in Microsoft Office Suite and confidence working with digital tools and systems.

A natural collaborator who thrives in a close-knit, creative team environment.

A genuine passion for the music or entertainment industry is highly regarded.

This is a temporary maternity relief contract and is a unique opportunity to work with some of the industry’s leading executives while gaining exposure to high-profile projects and national initiatives.
