Position Summary:
Weare seeking a highly organized and detailoriented Female Executive Assistant to the Chairman for one ofour prestigious real estate client in Dubai.
The Executive Assistantto the Chairman plays a crucial role in managing the dailycorporaterelated activities of the Chairman ensuring thatoperations run smoothly and that the Chairman can focus onstrategic decisionmaking. Here are the primary responsibilitiesassociated with this role.
The Executive Assistant will play a vitalrole in managing the Chairmans daily corporate activities ensuringsmooth operations and enabling the Chairman to focus on strategicdecisionmaking. This role is crucial in providing highleveladministrative support managing corporate tasks and ensuringseamless office operations. The Executive Assistant will also actas a key point of contact and facilitator of
communication
betweenthe Chairman and various internal and externalstakeholders.
Key Responsibilities:
Calendar Management:
Efficientlymanage the Chairman s calendar scheduling meetings appointments andtravel arrangements to optimizeproductivity.
Communicate schedulechanges promptly and ensure the Chairman is wellprepared for allengagements.
Meeting Coordination
:
Organizeattend and coordinate all meetings for the Chairman ensuring properlogistics including venue arrangements and requiredmaterials.
Prepare meeting agendastake minutes and follow up on action items to ensure timelycompletion.
Communication
Management:
Handleincoming correspondence such as emails phone calls and messagesprioritizing urgent matters for the Chairman sattention.
Draft and editcommunications on behalf of the Chairman ensuring professionalismand clarity in allinteractions.
Document Management
:
Prepareand format reports presentations and other documents for meetingsensuring accuracy and adherence to companystandards.
Maintain organized filesrecords and databases for efficient informationretrieval.
Project Support:
Assistthe Chairman with various projects by coordinating necessaryinformation tracking progress and ensuring deadlines aremet.
Conduct research and compilerelevant data to support decisionmaking andreporting.
Travel Arrangements:
Arrangebusiness travel itineraries for the Chairman includingtransportation accommodation and meeting schedules for bothdomestic and internationaltrips.
Prepare comprehensive travelbriefings including itineraries contact details and necessarydocuments.
